General Terms of Use

Introduction

Kelsall Hill Equestrian Centre is based on Organsdale Farm.  This is a working farm with all inherent risks you would expect including noisy farm machinery and livestock movement.  It is also situated next to a busy main road so precautions are in place to stop horses and livestock getting out and into harm’s way.

On arrival, please proceed to the electric barrier.  Press on the intercom and give your name/competitors name to the office staff, who will then raise the barrier for you.  Please park up and then present your horse passports to the reception desk (please have them open on the right page). All hirers must present themselves to Kelsall Hill office on arrival.

 

If you are hiring on behalf of a group of people and/or you have visitors, you are in charge of inducting every member of the group.  Below are the induction details.

Disclaimer

As named hirer, you are responsible for the health and safety of yourself and any other members of your group, whether mounted or dismounted whilst they are on site. Every person using the facilities agrees that they do so at their own risk and voluntarily accepts the risk of injury or damage that is implicit in riding or being around a horse on the premises.

Kelsall Hill Equestrian Centre does not accept any responsibility or liability for any injury, accident, damage or illness to any person, property, vehicle or animal whatsoever, or for any loss whatsoever, arising out of, or occurring at any hire, competition, show or event. It shall be a condition of entry/hire of the facilities that each entrant shall indemnify the organisers against any legal action whatsoever arising from any accident.

Facility Bookings and cancellation policies:

Smoking

There is no smoking permitted in Urchin’s Kitchen or the Primrose  Arena, Grandstand seating/arena, function rooms or club house.

Please dispose of all cigarette butts responsibly, there’s a stone trough filled with sand on the café terrace and another outside the toilet block at the end of the warm up arena.

Please do NOT put cigarette butts in the waste paper bins or the bins for horse droppings.

 

Dogs

Dogs are welcome on site but they must remain on leads and under control at all times.  Our café is dog friendly.  Dogs are not permitted in the Primrose Arena  or the seating in the Grandstand Arena.  PLEASE PICK UP AFTER YOUR DOG AND DISPOSE OF RUBBISH RESPONSIBILY.

Accessibility

Lift to the arena seating level and Urchins kitchen (first floor) accessed through reception.  The first block of seats is designated for wheel chair users.

Ramp access to outside terrace and then through to upstairs toilet facilities and Urchins kitchen..  Starting point of the ramp is on the side of the main building.  From outside the Hope Valley Saddlery take the zebra crossing and then follow around to your left.

Speed Limit/Parking/Car Park Etiquette

 

Parking

  1. When you enter the site please wait if the livery yards electric gates are in your way.  The gates are not operated automatically so please wait until a passing rider presses the large red buttons to open or close the gates. When this happens the red lights on the top of the gates will flash. Please wait until the gates are FULLY open before driving through the opening. If you drive through while the red lights are flashing the gates are programmed to stop so that no one and no horse can be squashed. Triggering the sensors by passing through them will ensure the gates do not reach their destination and this means the buttons have to be pressed again, this prevents the gates from functioning properly and is intensely irritating for the livery yards that need safe passage for their horses.
  2. We have a speed limit of 10mph for all vehicles on site.  As a guide, this is walking speed.
  3. Cars are welcome to park on the tarmac where there are white lines. Please do not park anywhere other than a designated space, even if its just for a short while.
  4. All horse transport, whether its a lorry, trailer, van etc  MUST park up on the hard standing car park.
  5. When you approach the barriers to access the hard standing car park please press the red button to let the office know that you are there. Please face the camera and let us know your name. Once we know who you are and what you plan to do with us at the centre we’ll buzz you in. Entry isn’t automatic when you approach the gate. Once we press the button the gate LEDs will turn from red to green. When the barrier’s up please pass through, there’s a short time delay set the barrier will return to its resting position.
  6. Once you’ve passed through the barrier please proceed  to the end of the site road to access the main car park. We can easily take three lines of vehicles in the car park.
  7. Horses and ponies must not be left tied unattended to any trailer or horsebox.
  8. Hay nets must NOT be tied to the outside of lorries.
  9. Please clean up any litter, droppings must go into the muck trailer NOT the litter bins. Please ensure all hay, straw or shavings around your horsebox/trailer are removed.
  10. The entrance/exit gates to the farmyard car park must be kept shut at all times,  as must the gate to the staff car park, unless access is required.
  11. PLEASE MAKE SURE THAT YOUR VEHICLE IS LOCKED AT ALL TIMES.
Refreshments

Urchin’s Kitchen

Our on-site restaurant, Urchin’s kitchen, is open 9 – 5 daily, (later when we have evening events), supplying a full range of breakfast, lunch and snack options, and a fabulous Sunday lunch.  Urchin’s Kitchen is dog friendly.

 

 

Toilets and showers

Toilets, showers and baby facilities are available on site.  These are cleaned daily. If you need any supplies for the toilets, or there is a cause for concern regarding the cleanliness of the toilets, please speak with a member of staff.

The toilet/shower area is located adjacent to the main (Gallery) arena.  There are shower facilities in the ladies, gents and disabled facilities.

Baby change table is located in the disabled toilets.

There is an additional set of toilets upstairs, through Urchin’s Kitchen.  A further baby change facility is located in the upstairs disabled facility.

Accident/ Incident/ Near Miss Reporting

Fire Alarms & Assembly Point

Alarms – We have 2 different fire alarms at the equestrian centre. The first is a bell alarm which clangs – this is the alarm which is based on the yard. The second is an electric alarm which is in the indoor school.

Fire Exits – the exits out of the indoor are marked with green signs – you may also use the horse access points to the indoor and the sliding side door if it is safe to do so.

Assembly Points – If you hear either alarm you are to evacuate to the first assembly point – this includes riders in the arenas who are to dismount first and lead their horses. The official assembly point is next to the gallop warm up.

Raising the Alarm – If you are hiring the arena beyond staffing times (before 8.30 am or after 4.30 pm) you are responsible for raising the alarm if you discover a fire. The fire bells are situated:

  • on the wall on the right of the gate on the entrance to the yard
  • on the outside of the main barn, on the corner at the back

The alarm in the indoor school building will activate itself.

If you discover a fire, please call 999/112 and give the address above. The what3 words to give the emergency services for the drive entrance is Ruins/Metro/Bring.

First Aid

If you are hiring any of the facilities, you are responsible for the first aid of you, your group and their attendees.

First Aid Room – We have a first room on site, which can be accessed with the help of any member of staff.

If you need to call an ambulance, please call 999/112 and give the address above. The what3 words to give the emergency services for the drive entrance is Ruins/Metro/Bring.

Minimising Risk

It is important to note that horses away from home can act unpredictably.

Please ensure you and your attendees:

  • read and adhere to all signage
  • maintain a quiet and controlled environment
  • supervise all children to ensure they are well behaved at all times
  • are aware there are water jumps and deep ponds on site which could cause drowning
  • are friendly to and supportive of the centre team and fellow hirers/riders

The Horses

  • all horses are fit and healthy and suitable for their riders, both in temperament and size. Please note our welfare standards are high and we do not tolerate harsh training procedures

Out of Bound Areas

Unless prior arrangements have been made with the Director of Kelsall Hill, all other areas of the centre, including the farm and livery barns are out of bounds.

Dealing with Waste

All droppings in the indoor and outdoor school must be picked up immediately and not ridden through. There are scoops and skips in the indoor and outdoor school. A charge will incur if the droppings aren’t picked up.

All droppings & loose hay in the car park must be picked up and taken home

Any rubbish must be put in the bins provided.

Dog Waste – please pick up after your dog and dispose of any waste in the appropriate bins.

The team at Kelsall Hill Equestrian Centre aim to provide you with a first class and enjoyable time.  We want to run a facility that has a positive vibe and is enjoyable for all to be at.  The Terms and Conditions apply to any Kelsall Hill livery client, hirer, trainer or attendee.  By adhering to the terms and conditions at all times, liveries, hirers, competitors, volunteers and spectators will help us provide a happy, safe and suitable environment for all ages.

It shall be a condition of entry/hire of the facilities that each rider or their attendees shall indemnify the organisers against any legal action whatsoever arising from any accident.

Reporting

Even though our facilities get checked regularly, please report to the office:

  1. any accident/incident
  2. any damage – signage/fencing/surface/jumps/rabbit holes/fallen branches/poles/fences etc
  3. any concerns you may have – surface/other riders/environment

When on Site
  1. All Hirers must notify Kelsall office staff of their arrival, pull up by the automatic barriers, press the red button and the please wait until we will speak to you on the intercom.
  2. All horses and ponies using the Centre must be fully vaccinated against equine flu. We will ask to see your passport on arrival.
  3.  If dogs do come on site, they must remain on leads and under control.  Any dog mess must be picked up and disposed of in a bin. Dogs are not permitted in the Primrose arena (warmup arena) or the Gallery Arena (main arena).  The café is dog friendly.
  4. There are to be no spectators in the horse walks.
  5. Please ensure that you and your attendees are calm and quiet on site and around the facilities so as not to upset the horses.
  6. No standing, climbing or sitting on the white fencing, kickboards or sandstone around the arenas.
  7. Children must be closely supervised and well behaved.
  8. Impolite behaviour will not be tolerated and poor conduct may result in a client being advised to find an alternative facility to use. Please respect other people using the facility.
  9. Any individual seen to be causing distress or suffering to any animal will be asked to leave the centre and may be reported to the appropriate authorities.
When Riding
  1. Please do not use any other facility other than that you have booked and paid for. If you are interested in the other facilities, please report to the office.  We offer combos which might be of interest. We monitor our facility use with our CCTV cameras.
  2. Please don’t use the roadways, marked with ‘No Horses’ signs, as horse walks.
  3. Horses must NOT walk on any tarmac areas.
  4. It is compulsory that any individual riding at Kelsall Hill Equestrian Centre must be accompanied by a responsible adult on foot who has a mobile phone which has their emergency contacts and the centre number loaded onto it.
  5. Groups of two or more must have a mobile phone which has their emergency contacts and the centre number loaded onto it.
  6. No hirer has exclusivity of any Kelsall Hill facilities
  7. No reckless riding or harsh training.
Health & Safety

Kelsall Hill Equestrian Centre has taken all reasonable precautions to ensure the health and safety of everyone entering Kelsall Hill Equestrian Centre and Organsdale Farm. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents and must obey the instructions from Kelsall Hill Equestrian Centre staff and notices displayed. Riding, caring for and being around horses is a High Risk Activity.  All individual riders must be accompanied by someone on foot who is over 18 and has a working mobile phone with Kelsall Hill Equestrian Centre office and all emergency contacts on it.

Personal Protective Equipment (PPE)

All riders must wear correct riding clothing and footwear when mounted. Hard hats of the minimum standard PAS015, VG1 01.040, ASTM F1163, SNELL E2001 or E2016, AS/NZS 3838 securely fastened must be worn at all times when riding. It is also compulsory to wear a body protector and skull cap when using the XC schooling field, the arena eventing course, either on grass on in the arena, if you intend to jump any of the fences on the farm ride and on the gallops.  It is a Kelsall Hill Equestrian Centre recommendation that body protectors are worn when doing pole work, jumping or riding around the Farm Ride.

Please note hats with BSEN 1384 & EN 1384 are no longer current safety standards.

  6. No hirer has exclusivity of any Kelsall Hill facilities
  7. No reckless riding or harsh training.
  8. Any breakages to poles, jump wings, fillers or any other equipment will be charged at the current market price.  At this time of rapidly moving prices, we cannot give a fixed figure on equipment replacement costs.

To Enter

Please select an event from the forthcoming events calendar. Once you clicked on the event you will see a description of the event and a link to an online form to enter. Please fill out the form with your entry details and pay for your classes.  Please fill out all the details correctly, if you call your horse by different names  this will cause confusion in our unaffiliated league tables as the horse will appear several times under each name. This is the most efficient and cheapest way to enter our competitions.

Entry Confirmation

Once you’ve paid for your entry you will receive an onscreen notification confirming your payment has been successful and thanking you for your entry.

Entry notification

You will also receive an email, sent to the address you have provided with your entry details that you have submitted. Please check your confirmation email carefully and notify admin@kelsallhill.co.uk within 24 hours if there is an amendment required.  Any amendments after this 24 hour period will invoke an admin fee. ( Please note that the most common frustration with entries for customers who feel they’ve been missed off a schedule is that they have either entered on the wrong date or at the wrong time for competitions that run separately during the day/evening, please therefore check the date and time if there is one specified).

Late entries

Once we close online entries, we may accept email entries if we still have space available but these will attract a £3 late entry fee per class entered to cover the increased costs of administration.  Competitors entering using emailed entries will need to make payment in full prior to the event and call into reception to sign to state that the competitor agrees with the competitions terms and conditions. Please ensure that your emailed entry has all the details that we might need to add your entry to the schedule including your rider and horse registration numbers for affiliated events.

Withdrawals

For most events which we are running the policy is that you will get a full refund minus a £4 admin fee per class, if you wish to withdraw an entry from the competition as long as we receive an email notifying us with more than 48 hours to go till the start of the competition.  Entries that are withdrawn with less than 48 hours’ notice will receive no refund. We cannot transfer entry fees on to competitions at a later date.

Where affiliated bodies have tougher rules then these will be applied, i.e. British Dressage where 50% of entry fees will be repaid in respect of all entry cancellations which are received by the office in writing (email admin@kelsallhill.co.uk) not later than 48 hours before noon on the day of competition.

Please note our unaffiliated one-day events and hunter trials will not follow the 48 hours’ withdrawal notice, this will be set bespoke to the event and stated on the event information on forthcoming events.

Transfers 

We do NOT offer transfers of entries to competitions at a later date, if you wish to withdraw from a competition please notify us by email and we will refund you your entry fee minus a £4 admin charge as long as your notification is received with more than 48 hours to go till the start time of the competition.

Cancellation Policy

In the event that a competition or show is cancelled, competitors are entitled to a full refund of entry fee.  If we re-schedule a date, (as a result of adverse weather conditions) and the new date is not convenient for you, entry fees will be refunded less an administration fee of £4.

If the roads around our venue are clear and we have cleared our access and car parks on site so it is safe to do so, the competition will run.  In these circumstances there will be no refund for competitors who cannot due to attend due to weather conditions in their area.  It is the clients responsibility to assess the likelihood of weather affected their attendance and take this into account when entering competitions. As stated above, withdrawals with 48 hours+ notice will receive a refund (minus admin fee or official guidelines from the governing body.)

 

Working in

If a warm up arena is becoming overcrowded, we may impose a limit on the number of horses allowed in the warm up arena (maximum of 10), giving priority to those closest to competing.

Prize Money 

Please note, we do not store card details or have cash on site,  to redeem any prize money please bring a credit card to reception and we will refund your prize money onto your card , please sign the prize money form to state that you have collected your money.  If you are unable to collect on the day, please contact the office on 01829 708241 within 7 days and we can process the money on to your bank card that way.  No prize monies will be processed after the 7 days have passed.

Rosettes

If you have won a rosette you will be able to collect these on the day from reception. Unwanted rosettes, in good condition, can be exchanged in Urchin’s Kitchen for a tea/coffee. We cannot take multiple rosettes and keep a credit for you ongoing so please exchange them one at a time!

 

We have 23 permanent stables on site available for hire. Stables are 12’x12′ and do not have rubber matting.  You are welcome to bring your own rubber matting.

Cost Of Stable Hire

Stables cost £50 per night/stable. There’s no turn out available with the stables.

Bedding

Bedding is £10.10 a bale (other bedding is available).  Stables require 2 bales, some customers prefer 3.  You are welcome to provide your own shavings if you wish.

Water

To improve biosecurity we do NOT have drinkers in the stables. You will need to provide your own bucket. There are taps for water on the outside of the stable yard which you are welcome to use.

Haylage

You are welcome to bring your own haylage.  Small bales of haylage can be sourced from Kelsall Hill Feeds (next door) .07734 831417. Camps will need to buy from Kelsall Hill. Cleaning Deposit

A fully refundable stable cleaning deposit will be charged at £50/stable as long as the stable is returned to us clean, a bare floor to bare floor policy is in place so please clean your stable out fully. Your stable cleaning deposit will be refunded to your card once its been inspected by a member of our team and they are happy that it is clean. You will need to provide your own brush and wheel barrow.

Access Times

Access to stabling is from 3 pm until 6 pm, stable to be fully emptied by 12 pm the day of departure. If you want to arrive late and haven’t been before you will need to agree this in advance with the office. We will be able to send you a video to give you a site orientation, tell you where to park and how to get there and let you know how to get to your stable, your stable will be labelled for you and your bales of shavings waiting by the door.  Please provide us with an estimated time of arrival (ETA)

Electricity hook up is available at £25 per unit per night, you might find that you need an adapter to take your lorry cable to our hook up points. These are available from reception, in office hours, with a £20 fully refundable deposit, refunded once you return the cable in working order.

Livery Yards

It is really important for us to keep our livery yard clients happy. Having ‘strangers’ about creates concerns for security and biosecurity. Please respect their concerns and behave accordingly. Access to other yards, using their tools, barrows, helping yourself to their haylage or bedding is strictly forbidden. Anyone infringing these rules would be asked to leave immediately.
